Terms & Conditions

Thank you for choosing Thorpe Satchville Village Hall. To ensure a safe and smooth event for everyone, please read the following terms carefully. By confirming your booking, you agree to the conditions outlined below.


Payment & Booking
 

  • Full payment must be made prior to the event.

  • Payment can be made via BACS to the following account:

    Sort Code: 20-63-66
    Account Number: 60015733

  • Your booking will only be confirmed once payment has been received.

 

Use of Hall & Timings

​

  • Your booking is for the agreed time only.

  • Any overstay will incur a pro-rata surcharge (based on your hire rate).

  • Please ensure you allow time for setup and clean-up within your booking window.

 

 Cleaning & Rubbish

​

  • The hall must be left in the same clean and tidy condition as it was found.

  • All rubbish must be removed by the hirer at the end of the event.

    • Black bin bags are provided.

    • Recyclable items (glass, plastic, cans) can be placed in the brown bins at the side of the hall.

  • Any breakages or damage must be reported to the Bookings Secretary and will need to be paid for so that replacements can be arranged.

 

Play Equipment & Outdoor Use

​

  • The hirer is fully responsible for any play equipment used, whether indoors or on the adjacent playing field (e.g. bouncy castles).

  • The contract for any hired equipment (e.g. inflatables) is between the hirer and the supplier, not with the Village Hall Committee.

  • If you are using outdoor space or bringing play equipment:

    • You must ensure the equipment supplier has appropriate insurance, including Public Liability Insurance.

    • It is the hirer’s responsibility to check this before the event.

 

Bar & Alcohol

​

  • If the Village Hall Committee is running the bar, all profits from the bar go to the Village Hall. This must be agreed in advance if required.

  • If you intend to supply or sell alcohol yourself, you must notify the committee in advance and may need to obtain a Temporary Event Notice (TEN) from the local authority.
     

Fire Safety Protocol

​

The hirer is the designated Fire Safety Responsible Person during the event. They must:

​

  • Read and understand the Fire Safety Procedure (provided with the booking)

  • Familiarise themselves with:

    • All emergency exits

    • The location of fire extinguishers and fire blanket

    • The full postal address of the hall

    • The assembly point

  • Ensure emergency exits are kept clear at all times.

  • In the event of a fire, contact a committee member immediately.

 

Cancellations

​

  • Cancellations made with more than 3 weeks’ notice will receive a full refund of any deposit paid.

  • Cancellations made less than 3 weeks before the event will result in the loss of the deposit.

 

Final Notes

​

  • By hiring the hall, you agree to these terms and take responsibility for all activities during your hire period.

  • The Village Hall Committee reserves the right to withhold all or part of the deposit in the event of damage, overstay, or failure to comply with these terms.
